Scenario: Refund Payment when Not Enrolled in eRefunds Feature
When a student or Authorized User is not enrolled in the eRefunds feature, the payment process includes additional steps to notify the payer and encourage them to enroll in eRefunds.
For instructions on how a student or Authorized User enrolls in the eRefunds feature, see Scenario: Enrolling in eRefunds.
-
You send Flywire a file with the refund payments that need to be processed.
A refund file format specification template is available. The template includes instructions and examples for creating the refund file. For more information, see eRefund File Specifications.
-
Flywire processes the payments and separates out the payments for students or Authorized Users who are not enrolled in the eRefunds feature.
-
A notification is sent to the student or Authorized User's email account informing them they have a refund payment in progress and encouraging them to sign up for the eRefunds feature.
What are notifications?
Notifications are SMS text or email messages the SFS sends to the payer. Each type of notification has two templates - a template for email communications and a template for text message (SMS) communications. You can configure the communications using customizable templates.
For more information, see Notifications.
-
The payment is shelved for 24 hours.
-
If the student or Authorized User enrolls in eRefunds, Flywire sends your bank the direct deposit information for the refund payments between 6:00 and 7:00 PM Eastern Time.
-
If the student or Authorized User does not enroll in eRefunds, the payment is sent as a paper check after the 24-hour shelving period is over. Depending on who is managing paper checks, Flywire will mail the checks or send you the list of paper checks for mailing.
The 24-hour shelving period is a non-configurable setting. The shelving period is kept at 24 hours to keep prompt payment processing.

-
If the payer enrolls in eRefunds during the shelving period, your bank sends the direct deposit to the student or Authorized User's bank account.
